Nasdaq’s “Optimizing the Virtual Boardroom” suggests ways in which companies that are planning to continue to hold virtual board meetings post-pandemic can improve the experience for directors, management, and guests.
Recommendations include building a virtual board table by:
- Freezing the meeting room screen so that all directors are visible throughout the meeting
- Creating a virtual seating arrangement with directors on the top of the screen and management on the bottom, with presenters and presentation materials in the center of the “table”
- Creating virtual, professional backgrounds for meeting participants to reduce visual distractions, which may be color coded to distinguish directors, management, and guests
- Enabling directors to view meeting materials on a board portal in full screen mode concurrently with participation in the virtual board room, on par with their ability to review materials on a boardroom table during an in-person meeting
The guide also offers suggestions to mitigate meeting day hiccups and promote confidentiality in a virtual environment.
